The delivery sequence is used to manage the order in which you deliver to your customers on each day for each round.

Consider a run with several rounds and a driver for each round. On a Saturday or Sunday, many customers are bypassed because they don’t require a delivery. Under these circumstances you could use the delivery sequence to manage which order these customers appear on your Run Sheets, and the order in which Dockets and Invoices are printed.

Setting up or Changing the Delivery Sequence

Delivery Sequence has two modes:

  • Customer mode
    • Lists all active customers for whom the selected Round is the default for the selected day of the week
      • Customers marked as Inactive are not included in the list
    • Use this mode to change the delivery sequence and/or round to be used when creating new customer orders:
      • Drag a customer up or down the list, or edit the Sequence number, to set up the delivery sequence of new orders for that day of the week
        • All future customer orders will default to the new customer sequence
      • Edit the customer's round for the selected day of the week:
        • The Round section in the Options tab of the customer's details will be updated to show the new round for the selected day of the week.
        • All future customer orders for that day of the week will default to the new round
  • Order mode
    • Lists all customers who have an order (with quantities) for the selected Date and Round
    • Use this mode to change the delivery sequence and/or round for this delivery date only:
      • Drag a customer up or down the list, or edit the Sequence number, to set up the delivery sequence of orders for the selected date only
        • Changing the sequence in Order Mode does not affect the customer's default sequence for that day of the week, so future orders are not affected
      • Edit the round to move a customer order to a different round for the selected date only
        • If you change the Round, you are changing only the round for the existing customer's order on the selected date - future orders will not be affected
           
    • Notes on Order Sequence
      • When a new customer order is created, the order's sequence is initially set to the customer's sequence for that day of the week. This applies when creating a new order in:
        • My Orders
        • Quick Entry Orders
        • Import Standard Orders
        • Weekly Order Edit
      • When the date of a customer order is changed in My Orders, that order's sequence is updated to match the customer's sequence for the new day of the week
        • Note: When Batch Update Orders is used to move customer orders to a different date, the sequence is NOT updated to match the new date
      • The sequence set in Order Mode is used if 'delivery sequence' is selected as the print order when batch printing delivery dockets, and when printing the Run Sheet for Deliveries and Customer Run Sheet reports

Using Customer Mode

  • Select a Day: From the drop-down, choose the day of the week for which you want to set up the delivery sequence
  • Select a Round: Choose the round for which you want to set up the delivery sequence on that day
  • Mode: Customer

Once you make a selection for each field, the customers that meet those criteria will appear in a list on the screen. The Round is that specified in each customer's Round section in their Options tab  for that day, or, if no Round is specified there, it is the customer's Default Round.

  • Click the  edit icon to select a different Round or to change the Sequence number allocated to that customer for the selected day of the week
    • If you change the Sequence, it will change the sequence for future customer orders on that selected day of the week; existing customer orders will not be affected
    • If you change the Round, the Docket Information section in the Options tab of the customer's details will be updated to show the new round for the selected day of the week.
      • The customer will no longer be included in the current list because they are no longer in the selected Round for that day
      • All future customer orders for that day of the week will default to the new Round
    • Click  to save your changes, or  to cancel them
  • Click and hold the move icon to re-sequence the list by dragging customers up or down in the list
  • Click the Renumber button to set the Delivery Sequence of all Customers in the currently displayed Round and Day back to increments of 10, such that the Delivery Sequence will be 10, 20, 30... and so on.
    • Note: Where Customers have the same Delivery Sequence number on screen, they may swap order with each other when using the Renumber button. Please double-check any of these Customers or make sure they have different Delivery Sequence numbers before doing so.

Using Order Mode

  • Select a Day and Date: From the drop-down, choose the day and date for which you want to make changes
  • Select a Round: Choose the round for which you want to make changes
  • Mode: Order

Once you make a selection for each field, the customers with customer orders that meet those criteria and have order quantities will appear in a list on the screen. The Round is that specified in each customer's order. Unless you have changed it in in the order already, this is the round specified in the customer's Round section in their Options tab  for that day, or, if no Round is specified there, it is the customer's Default Round.

  • Click the  edit icon to select a different Round or to change the sequence number allocated to that customer for the selected day of the week
    • If you change the Sequence, it will affect only the order on that date
    • If you change the Round, only the Round on the customer order for the selected date will be changed.
      • The customer will no longer be included in the current list because they are no longer in the selected Round for that date
      • Future orders will still use the customer's default Round (as set in the customer details screen) for that day of the week
    • Click  to save your changes, or  to cancel them
  • Click and hold the  move icon to re-sequence the list by dragging customers up or down in the list

 

Copying a sequence from one day to another

In Customer Mode, you are able to copy a delivery sequence from one day of the week to another. 

  • The Copy function is best used for initial setup if days are similar, NOT for day to day changes on individual Rounds
  • The sequence for ALL Rounds is copied from the selected day to the day currently displayed on screen

This means you don’t need to configure a day that might be similar to one previously setup. For example, Monday's and Tuesday’s routes might be very similar, so you can set up the delivery sequence for Monday, and then copy that sequence to Tuesday.

To use the Copy From feature:

  1. Select the day of the week you are copying FROM 
  2. Set up the delivery sequence for each Round for that day
    • Note: Copy From copies all Rounds, so, in the FROM day, be sure to set up the sequence for each of your Rounds before copying from that day

  3. Now you have you FROM day set up, select the day you want to copy the delivery sequence TO
  4. Click Copy From 

  5. In the Copy From pop-up window:
    • Select the day you want to copy the sequence FROM
      • This is the day for which you have already set up the delivery sequence
    • Click Ok to copy the delivery sequence for all Customers and Rounds in the selected FROM day to the day on screen (the day you selected in step 3)

  6. If necessary, once the new sequence has been copied to the day currently on screen, minor adjustments to sequence can be made.
