Updated 23/07/2025 Users Two-Factor Authentication

The Users option in the Account menu allows users with an Administrator role to control who has access to EasyVend. You can assign a role to each user and control which restrictions apply to each user.

  • Create New: allows you to add a new user to access EasyVend
  • Search: search your users by name or email address
  • Show Disabled: any users that have been disabled previously are hidden by default. By ticking this option you will see the disabled users in the list

Creating a new user

  • Login ID: enter the email address you want to assign to the user
  • Password: enter the password to assign to the user
  • Re-Enter Password: enter the same password as previously entered for confirmation
  • Name: enter the name of the user. e.g.. John Smith
  • Phone: if available, enter the phone number of the user; this is not a mandatory field
  • Two-Factor Authentication: (Read-Only) displays whether the user has Two-Factor Authentication (2FA) enabled or not
  • Select a Role:
    • Administrator will have access to everything, and restrictions will NOT be applied if selected.
    • Power User will have access to everything except for Users and Subscription in the Account menu. Any restrictions ticked in the Restrictions section will apply.
    • Sales will only have access to Customers, Invoices, Receipts, Statements, and Orders. Restrictions will be applied if selected.
      • Invoices can be viewed and cancelled, but generating and batch printing of invoices via the Invoices option in the Customers menu is NOT enabled
      • Dockets can be viewed and orders can be updated, but batch printing of dockets via the Print & View Dockets option in the Orders menu is NOT enabled
    • Invoice will only have access to the Invoices page. They are unable to create receipts or write off invoices.
    • Run Report will only have access to the Run Reports page.
  • Restrictions: tick any options that you want to apply to this user
    • Not allow to cancel docket:
      • The Cancel Docket button in order details will be disabled
    • Not allow to modify customer order unit price:
      • The Unit Price column in the Order Details screen will be hidden
    • Not allow to modify standard order products or adjustment
      • In the Standard Order tab in the customer details screen:
        • Products will not be able be changed, added or deleted
        • The Adjustment amount/percentage will be not be able to changed
        • The user will still be able to change Delivery FrequencyUsual Delivery DaysDefault Purchase Order Reference, and the standard order quantities for existing products
      • In the Orders menu, Batch Update -> Substitute Standard Orders will be hidden 
    • Not allow to access receipt and write off invoice:
      • Customers menu: The Receipts option will be hidden
      • Invoice Details screen: The Add Receipt and Write Off Invoice buttons will be hidden
      • Customer Details screen:
        • The Receipts tab will be hidden
        • Invoices tab: The Paid button used to create a receipt for selected invoices will be hidden
    • Not Allow To View Actual Sales Graph:
      • The Actual Sales graph on the dashboard will be hidden
    • Not allow to access sales reports:
      • Reports menu: If the user has access to the Reports menu, the Sales Reports option will be hidden
    • Not allow to access receipts reports:
      • Reports menu: If the user has access to the Reports menu, the Receipts Reports option will be hidden
    • Not allow to generate invoice:
      • Customer Details screen: Generate Invoice button is hidden
      • Order Details screen: Create Invoice button is hidden
      • Invoice List screen: Generate Invoices button is hidden
      • Note: Manual Invoices can still be created from the Customer's Invoice tab. This only prevents generating invoices from orders
  • Click Create User

  • Click Resend Invitation if you wish to send the new user an email invitation to enter a password and log into EasyVend

Disabling Two-Factor Authentication for a user

If you are the Master user on the Account, next to the Two-Factor Authentication checkbox you will have the option to disable it for any Non-Master users that have it enabled.
This allows your users to regain access to their account if they lose the Authenticator App on their phone.

To do so:

  • Click the Disable 2 FA link
  • Click Confirm
Note: To enable 2FA for your user, follow the instructions provided in My Profile

Disabling a user

  • Select the user for whom you want to disable access to EasyVend
  • Click Disable and return to the main list of users

Enabling a user

  • Tick Show Disabled and press Search
  • Select the user you want to enable access to EasyVend for
  • Click Enable and return to the main list of users

Resending Invitation or Resetting User Password

  • Select the user the email is to be sent to
  • Resend Invitation: If you have added a user, a user has forgotten their login details, or they have just been re-enabled, click this option to send an email invitation for them to enter a password and log into EasyVend.
  • Reset Password: Click this to send an email to the user's email address inviting them to click on the link to reset their password.
