The Payment Gateway, Online Website and Customer Order Portal

The payment gateway and online website/customer order portal can be used independently, or together:

  • If  you have a merchant account approved and activated by JealTech staff, the payment gateway will be enabled and you will be able to automatically debit trade customers when their invoices fall due, or include a Pay Now link in the Invoice Notification emails sent to trade customers. 
  • If you have subscribed to the the Online Website module of EasyVend, your customers will be able to enter their orders online via your website or using the EasyVend Orders app.
    • Note: Depending on your supplier, Supplier customers (Central Billing and Fee for Service) may place orders using your supplier's order website; these customers cannot be invited online to order via your vendor website
  • If you have both the payment gateway and the online website activated, customers can not only enter orders but trade customers can also make payments online.

  • Note: The Created By field in a receipt indicates who created the receipt:
    • Created by adding a receipt in EasyVend: Current vendor/user login name
    • Created by the customer adding a receipt via online ordering, or by clicking the Pay Now link in an invoice notification email: Current customer login name

The Payment Gateway

Setup

Setting up a payment gateway has three functions:

  • Automatic Debits: The payment gateway enables the Payment Options Tab in customer details screen for trade customers. From there, you can enter the customer's debit/credit card details and set up automatic debits. Once set up, the customer's card will be automatically debited on the invoice Due Date. 
  • Pay Invoice Now option: For customers who do not want you to store their credit/debit card details, the payment gateway enables the adding of a Pay Invoice Now option to the Invoice Notification emails sent to customers. When a customer clicks the Pay Now button in their email, they will be taken to a website where they can pay the invoice, even if you do not have an online website of your own.
  • Online Payments via your online website: If you also have the Online Website module, the payment gateway works in conjunction with the Customer Order Portal, enabling customers to pay online.

Once the payment gateway is enabled, the Receipts Reports option in the Reports menu will enable you to print a Declined Transaction Report. This report lists the invoices for which payment via the payment gateway was declined in the selected date range. This report is also automatically emailed to you whenever an automatic debit is declined.

Automatic Debits to the Customer's debit/credit card

Once the payment gateway is enabled, you can set up the trade customers who are to be debited automatically on the invoice Due Date. To do this:

  1. Set up the templates to be used when emails are sent to the customer
    • Select General Settings from the Settings menu
    • Select the Email Templates tab
    • View and edit the wording of the Direct Debit Agreement, Terms & Conditions, and Privacy Policy templates
      • If you already have your Terms & Conditions and Privacy Policy published on your website, you should modify the Direct Debit Agreement template to include a link to those documents.
      • If you do NOT have your Terms & Conditions and Privacy Policy available on a website, update the sample templates provided to suit your company policies
    • View and edit the wording of the emails to be sent to the customer when an automatic debit is successful, and when it fails
  2. Set the customer's Credit Term
    • In the customer's Billing Information, set the Credit Term in days
      • This is the number of days after the Invoice Date that will be the invoice's Due Date
  3. Email your Direct Debit Agreement to the customer
    • Go the the customer's Payment Options tab
    • Click Direct Debit Agreement
    • If required, attach the Terms & Conditions and Privacy Policy to the email
      • If your Direct Debit Agreement template contains a link to the Terms & Conditions and Privacy Policy published on your website, do NOT tick Attach Terms & Conditions and Privacy Policy
      • If you do not have these policies on your website and have edited the templates in EasyVend to suit your policies, tick Attach Terms & Conditions and Privacy Policy
    • Click Send
  4. Enable automatic debiting on the invoice due date:
    • Go the the customer's Payment Options tab
    • Enter the customer's debit/credit card details
    • Enable Auto Debit When Invoice is Due: Select Auto Debit Credit Card from the drop-down box
    • Click Save Changes

 

  • Automatic Debits to credit/debit cards occur at 8am AET each day
  • If an automatic debit succeeds, the customer will receive an email to notify them of the successful debit, with a receipt attached
    • The wording of this email is set up in the template for Direct Debit Success Notification in the Email Templates tab of General Settings
  • If an automatic debit to a credit/debit card fails:
    • The invoice remains unpaid
    • The vendor will be emailed a copy of the Declined Transaction Report
    • The customer will receive an email informing them of the direct debit failure
      • The wording of this email is set up in the template for Direct Debit Fail Notification in the Email Templates tab of General Settings
    • The automatic debit will be tried again the next day
  • If the automatic debit to a credit/debit card fails 3 times:
    • The invoice is marked as "debit failed" and the automatic debit for that invoice will not be tried again

Pay Invoice Now Option

If the payment gateway is enabled, but you have trade customers who do not want you to store their credit/debit card details, you can add a Pay Now link to the Invoice Notification emails. To do this:

  • Select General Settings from the Settings menu
  • Select the Email Templates tab
  • View the invoice Notification template
  • Edit the template to include the [PayNow] placeholder.
    • The [PayNow] placeholder displays in the email as a large green Pay Now button
  • Click Save Changes

When a customer clicks the Pay Now button in their email, they will be taken to a website where they can pay the invoice:

  • If you have an online website and the customer is registered with the online order portal, they will be able to login and be automatically taken to the Invoice Details screen where they can pay the invoice

  • If you do not have an online website, or you have a website but the customer does not have a login or their login is disabled for the online order portal, the Pay Now link will take the customer to a Pay Invoice screen which displays invoice details such customer name and invoice number, date, status and balance outstanding.
    • If the invoice is not already paid, the customer can enter their credit/debit card details and click Submit to pay the invoice
    • If the payment is successful, the customer will receive a 'Success' notification email with the paid invoice attached
    • Notes:
      • The customer's credit/debit card details are not stored - they will have to enter their card details each time they pay via the Pay Invoice screen
      • If the invoice is already paid, the customer will not be able to pay a second time. The screen will instead display that the invoice is already paid
      • If the invoice is for a negative amount, the customer will not be able to pay
      • If the invoice has been cancelled, the screen will display this and the customer will be unable to make a payment

Credit Notes

Important Note: If the customer has automatic debiting set up, the payment gateway will only debit the customer for outstanding invoices. It will NOT credit the customer if they have a credit note (negative invoice).

 

If you create a Credit Note (negative invoice) for a customer who is automatically debited for invoices via the payment gateway,  the credit note will NOT be automatically credited to their credit/debit card. To ensure the customer does not remain in credit, once the credit note has been generated:

  • Generate the next invoice for the customer
  • Create a $0 receipt and use it to offset the credit note against the outstanding invoice
  • When the next automatic debit occurs, the customer will be debited for only the remaining amount outstanding on the invoice

If you invoice daily and the customer is automatically debited the next day, you will need to offset the credit note as soon as possible after you create the next invoice, and before the automatic debit occurs on the invoice due date.

It is a good idea to periodically check for customers who are in credit by running a Debtors Report and looking for negative outstanding invoices.

 

Surcharges

As part of the setting up the payment gateway, you can set a percentage surcharge that will be applied to debit/credit card payments received from customers via the payment gateway, but please note:

  • It is your responsibility to notify your customers of your terms and conditions for payments made via the payment gateway.
  • The ACCC bans excessive surcharges. For more information, see the ACCC website. Their Q&A: Payment surcharges page says, among other things:
    • "A payment surcharge is excessive if the surcharge exceeds the permitted surcharge as defined in the RBA standard. The permitted surcharge is an amount not exceeding your costs of acceptance for each designated payment type."
    • "If you wish to impose a single surcharge across multiple payment types, you must set the surcharge at the level of the average cost of acceptance of the lowest cost system; that is, no higher than the lowest permitted surcharge."
  • If you apply a surcharge:
    • If the invoice has already been created (for example, for automatic debits on the invoice due date, or when you manually pay an invoice by charging it to the customer's credit/debit card):
      • An additional Tax Invoice for the amount of surcharge will be created at the time of the payment.
      • If you have emailing of invoices set up for the customer, the additional 'paid' invoice for the surcharge will be emailed to them automatically, along with the emailed receipt.
      • GST will be charged on the surcharge in the same proportion as it applied to the original purchase, as the surcharge is considered to form part of the price for your supply of goods to the cardholder. For example, if the original invoice was only for GST-free products such as white milk, there will be no GST on the surcharge. I the original invoice was 50% GST-free and 50% taxable, GST will be applied to 50% of the surcharge.
    • If the payment is made at the same time as the invoice is created (for example, if you have the Online Website module and the customer pays when creating a new order):
      • The surcharge will be included on the same 'paid' Tax Invoice created for the order and emailed to the customer.
      • GST will be charged on the surcharge in the same proportion as it applied to the goods purchased.

Bank Reconciliations in Xero/MYOB

Payment Gateway: Setup | Automatic Debits | Pay Invoice Now Option | Credit Notes | Surcharges | Bank Reconciliation in Xero/MYOB

When the payment gateway credits your bank account with money received, the amount credited may be for a bulk amount minus the payment gateway's fee. For example, you may have EasyVend set up to automatically debit five customers on the invoice due date of the 7th of the month. EasyVend creates five receipts totalling $750.00, and the payment gateway credits your bank account with $738.75, after charging you an $11.25 fee. 

When you do a bank reconciliation after syncing with Xero or MYOB, you will need to identify the receipts and account for the payment gateway fee:

  • To identify the receipts in EasyVend, you can:
    • Print a Daily Receipt Reconciliation report for Payment Method "Debit Credit Card", or
    • Select Receipts from the Customer menu and display a list receipts for the day with a Payment Method of "Debit Credit Card". To do this, in the Receipts list screen:
      • Select the relevant From and To dates 
      • Select a Payment Method of "Debit Credit Card"
      • Click Search
      • Click on the Reference column heading to sort the receipts by the payment gateway reference number
  • To reconcile the money received from the payment gateway with the individual receipts when doing a bank reconciliation:
    • In Xero:
      • Make sure you have synced EasyVend and Xero
      • In the Xero bank reconciliation screen, next to the money received from the payment gateway:
        • Click the Match tab to display a list of unreconciled receipts. Then follow the steps in Xero:
          • Find & select matching transactions
            • Click the Reference column heading to sort the receipts by the payment gateway reference number
            • Tick the receipts corresponding to the money received from the payment gateway
            • If you have already added a transaction for the payment gateway fee:
              • Tick Show Spent Items
              • Find and select the fee transaction
          • View your selected transactions. Add new transactions, as needed.
            • If a fee has been deducted by the payment gateway, and you have not yet added a transaction for this fee, the transaction will not yet reconcile. You can add the fee in the next step.
          • The sum of your selected transactions must match the money received. Make adjustments, as needed.
            • Click Adjustments and select Bank fees from the drop-down list
            • Add details of the fee and assign it to the appropriate expense account
    • In MYOB, the mechanism may vary depending on whether you are using MYOB AccountRight or the online MYOB Business interface, but, in general:
      • Make sure you have synced EasyVend and MYOB
      • In MYOB, create a Spend Money transaction for the merchant fee charged by the payment gateway and assign it to the expense account you use for merchant fees
        • In MYOB AccountRight, right-click on the Reconcile Accounts screen and click Enter Transactions to add a transaction for the expense
      • In the MYOB Reconcile Accounts screen, offset the fee against the receipts by ticking:
        • The receipts from EasyVend corresponding to the money received from the payment gateway
        • The Spend Money transaction you created for the payment gateway's merchant fee

The Online Website and Customer Order Portal

Online Ordering Setup

Website: Online Ordering Setup | Inviting Customers | Email Addresses | New Customer Online Registrations | Invitation Email | After Setup

When customers use the Customer Order Portal or the EasyVend Orders app:

  • Orders entered by customers will be displayed in the EasyVend My Orders screen and can be updated by you if required.
    • Note that the customer can cancel or edit an order up until the cutoff time, unless the order has been confirmed, delivered or invoiced
  • If you have set a Minimum Order Value in the customer's Options tab, the customer will be unable to submit an order that is below the amount you specify
  • If you have saved a Default Purchase Order Reference in the customer's Standard Order tab, new orders created via the Customer Order Portal will use this default as the Customer PO
  • Options in General Settings allow you to control which days are available for customers to place orders; see the setup instructions below
  • If you create or update a customer's order in EasyVend, the order will be visible to the customer when they log into the Order Portal
  • The customer can add or remove products from his list of Favourites
    • In the customer's Standard Order Tab, the Add to Favourites button allows you to automatically add all products in the standard order to the customer's list of Favourites
  • Products that have been excluded from online ordering will not be visible to the customer:
    • To exclude some products from all online ordering, use the Online Order option in Product Categories 
    • To exclude some products only for specific customers, use the Restricted Category option in the Website tab of the customer's details screen
  • Payments made by a trade customer via the Order Portal will be visible in the EasyVend Receipts screen and the Receipts tab of the customer's details screen.
  • If a trade customer orders and pays via the Order Portal, they can pay for individual orders at any time. If they do this, an invoice will be automatically produced for that order. When you create the next invoice due for the customer, any orders already invoiced and paid are excluded from that invoice. 

To set up online ordering and payment via your website, you will need to:

  • Subscribe to the Online Website module and activate the payment gateway in EasyVend by calling the JealTech sales team on (02) 9188 4470
    • A website address specific to your company will be created. To see this address, select Company Details from the Account menu.
  • Select General Settings from the Settings menu and go to the Website Settings tab and its sub-tabs. These tabs allow you to view and update your settings for online ordering. See the General Settings help page for more information on each tab:
    • Website Settings tab: Allows you to select options for the online order portal, and view or edit the email templates used when emails are sent to customers using the online order portal.
      • If you want to set minimum order values for online customer orders, you must enable Show Price Column in Website Settings
    • Cutoff Times tab: Use this option to nominate a cutoff time for ordering each day
      • Customers will be unable to create or update orders once this cutoff time has been reached. For example, if the notice required is 1 day and the cutoff time is 4pm, the customer must place their online order before 4pm on the day before delivery.
      • If you untick Delivery Enabled for a day (for example, if you don't deliver on Sundays), dates for that day of the week cannot be selected by the customer when placing an online order.
    • Cutoff Notifications tab: If you want to automatically send cutoff time notifications to customers prior to your cutoff time, you can enable automatic notifications in this tab
    • Vendor Holidays/Supplement Dates tab: Select this tab to set days on which you will not be doing deliveries, and days on which you want customers to be able to place supplemental deliveries to cover the non-delivery days. 
      • Vendor Holiday Dates: Days on which no customers can place an online order
        • You can set holiday dates for yourself (e.g. Christmas Day, Anzac Day etc).
        • When a holiday date has been added:
          • Your customers will be unable to place orders on your website or using the EasyVend Orders app  for the selected date, and
          • Cut-off time notifications for that delivery date will not be sent
      • Supplement Dates: Days on which all customers can place an order on your website, even if it is not a usual delivery day for the customer
        • For example, if you set a Holiday Date for Christmas Day, you can set a Supplement Date for Christmas Eve. All customers will be able to place an order for delivery on Christmas Eve, even if they do not usually get deliveries on that day of the week.
        • Note: Deliveries must also be enabled for that day of the week in the Cutoff Times tab in General Settings
    • Promotional Message tab: If you wish to display messages for your customers to see when ordering online, select this tab. This option allows you to set:
      • Promotional Message: Text message displayed at the top of the customer's New Order screen in both the online order portal and the EasyVend Orders app
        • Useful for reminding the customer of cutoff times, holidays and other general text to be seen by all customers who order via your website or the app
      • Left-hand Panel message: Text and/or image displayed below the menu in your online order portal
        • Useful for promoting new products, specials, and anything that requires an image to be displayed
    • Product Categories tab: If you wish to exclude certain products from all online ordering:
      • Select the Product Categories tab
      • Create a new product category:
        • Description: "Bulk White Milk" or similar
        • Online Order: Unticked
        • Save the new category
      • For each product to be excluded from online ordering, assign it to the new category
      • Note: If you only wish to exclude products from online ordering for selected customers, the Website tab in the customer details screen allows you to select product categories to be excluded from online ordering for that customer.

Once you have set up your website, you can invite customers online, or a new customer can register online on your website.

Inviting Existing Customers Online

For each customer, you will need to know the email address the customer wishes to use when logging into your online ordering website and the EasyVend Orders app. When the customer places an order, their order confirmation email will also be sent to this email address.

Note: Depending on your supplier, Supplier customers (Central Billing and Fee for Service) may place orders using your supplier's order website; these customers cannot be invited online to order via your vendor website

Bulk Invitations

  • Select Bulk Invite Online from the Customer menu
  • Filter the customer list as required:
    • Invite Status: Select one or more statuses to be included from the drop-down list, or leave blank for all statuses:
      • Not Invited: Customer has not yet been invited online, or a previous online login has been disconnected
      • Invited: Customer login has been created but the customer has not yet verified it by creating a login password
      • Accepted: Customer login has been created and verified by the customer
    • Billing Method: Select one or more customer Billing Methods from the drop-down list
    • GroupsSelect one or more Groups from the drop-down list
    • RoundsSelect one or more Customer Rounds from the drop-down list
    • Show Inactive: Tick to include inactive customers
    • Click Search to display only customers that match the filter(s)
       
  • Select the customers to be invited online
    • Bulk selection: Click the check box in the Invite heading to select/deselect inviting online for all customers displayed in the list
    • Individual selection: Tick or untick the Invite option for each customer to select/deselect inviting online for that customer
       
  • In the New Login column, enter the email address to be used for inviting each customer online
    • If the customer record includes an email address, this field will be already filled in, but can be changed if required
    • The email address initially displayed in the New Login column is:
      • If the customer already has an online login:
        • The current login as shown in the Login ID column
      • If the customer does not have a current online login:
        • The first email address in the Customer Information section of the customer details screen, as shown in the Customer Email column
    • Change the email address in the New Login column if:
      • The customer wishes change their current Login ID, or
      • The customer does not have a current Login ID and wishes to use a different email address from that in Customer Email used for receiving invoices etc
    • Note:
      • If the email address in the New Login column is changed, that new email address is used only for online logins
      • Changing the address here will NOT change the contact email in the Customer Information section of the customer details screen

  • Click the Bulk Invite button
    • Progress in sending the invitations is displayed, along with a final count of emails sent
    • The invitations will be sent to the email address in the New Login column for each selected customer
      • If the New Login column contains more than one email address, the invitation will be sent to the first address only
    • This address will be the customer's "User ID" when logging in to your website and the EasyVend Orders app
    • The Login section of the customer details screen will be updated with that email address as the login address 
      • If the customer has previously been invited online, a new invitation is sent to the email address in the Email column. If it is different from the address in a previous invitation, the most recent email address is the one to be used for logging into your website.
  • The invitation email contains a link which the customer can click to set their password
    • The link expires after 7 days or if a new invitation is issued
    • If the link expires before a customer sets their password, you can issue a new invitation
    • Once the customer has set their password, they will be able to log in to your online website and the EasyVend Orders app

Individual Invitations

  • Select Customers from the Customer menu
  • Select the customer to be invited online
  • If you have not already done so, enter and save the customer's email address
    • If there is more than one email address, the invitation will be sent to the first address
    • The email address to which the invitation is sent will be the customer's "User ID" when logging in to your website and the EasyVend Orders app
    • See the next section for issuing invitations to a different email address
  • Click the Invite Online button
    • If the customer has not previously been invited online (or if the previous invitation has been disconnected):
      • The invitation will be sent to the first email address in the Customer Information section of the customer details screen
    • If the customer has previously been invited online:
      • The invitation will be sent to the email address in the Login section of the customer details screen
  • The invitation email contains a link which the customer can click to set their password
    • The link expires after 7 days or if a new invitation is issued
    • If the link expires before the customer sets their password, you can simply click Invite Online to issue a new invitation to the same login email address
      • If the invitation has gone to the wrong email address, see Email Addresses below for information on issuing an invitation to a different address
    • Once the customer has set their password, they will be able to log in to your online website and the EasyVend Orders app

Notes:

  • You can view or change the wording in the invitation email by selecting General Settings from the Settings menu and editing the Login Invitation template in the Website Settings tab
    • Make sure the invitation contains the placeholders:
      • [EmailLink] - inserts the link for the customer to set their password
      • [CustomerUserManual] - inserts a link for the customer to download the user manual which has instructions for using both your online order website and the EasyVend Orders app
  • When you invite a customer online, the Login section of the customer details screen will be updated with:
    • Login ID: The email address to which the invitation was sent
    • Disabled: No
      • You can disable and enable the account at any time
      • Customers cannot log in to disabled accounts
    • Verified: No
      • Changes to 'Yes' once the customer has set their password
  • The Invite Online option is only available if you have subscribed to the the Online Website module of EasyVend and the customer has an email address entered in the Customer Information section of the customer details screen.
  • The Bulk Invite Online menu option is only available in the Customers menu if you have subscribed to the the Online Website module of EasyVend

Email Addresses: Separate addresses for Invoices and Online Ordering/Changing the Online Ordering Login

By default, online ordering invitations are sent to the first email address in the Customer Information section of the customer details screen. However, a customer may want to uses a different address for online orders, or you may find an invitation has gone to the wrong email address. For example:

  • A customer uses accounts@xyz.com.au for invoices etc, but advises they want to use login@xyz.com.au for online ordering login and order confirmation emails, or 
  • A login invitation was initially sent to accounts@xyz.com.au, but the customer now wants to use login@xyz.com.au for ordering

In both instances, an invitation to the correct address can be issued, via either the Bulk Invite Online screen or the customer screen:

  • From the Bulk Invite Online screen:
    • Tick the Invite column for the customer who is to be invited using a different email address
    • Type the new address login@xyz.com.au to be used for online ordering in the New Login column
    • Click Bulk Invite
      • The invitation will be sent to the email address in the New Login column (and to any other customers selected in the Invite column)
      • The Login section of the customer details screen will be updated with that email address as the login address 
        • If the customer has previously been invited online, a new invitation is sent to the email address in the New Login column. If this is different from the address in a previous invitation, the most recent email address is the one to be used for logging into your website.
      • The address in the New Login column in Bulk Invite Online is used only for online invitations; changing the address here does not affect the contact email address in the customer details screen 
         
  • From the customer details screen:
    • If an invitation has already been issued to another email address, you must first disconnect the old login address:
      • Go to the Login section of the customer detail screen
        • It will contain the old/incorrect email address
      • Click the Disconnect button
      • Answer Yes when asked to confirm you wish to cancel the existing login 
    • Once any previous invitation has been disconnected:
      • Temporarily change the customer's email address so the login email is first and the email addresses are separated by a semicolon or comma:
            login@xyz.com.au;accounts@xyz.com.au
      • Click Save Changes
      • Click Invite Online to issue a new invitation
        • The invitation will be sent to the first email address, which is login@xyz.com.au
        • The Login section of the customer details screen will be updated with that email address as the login address
      • If the customer doesn't want invoices to go to login@xyz.com.au, remove that address from the customer's email address and click Save Changes

New Customer Online Registrations

If a new customer submits a registration online from your website:

  • When a customer registers, you receive an email advising you of the registration, including the name and contact details of the person registering.
  • The Online Registration option in the Customer menu is used to either:
    • Accept the registration and add the customer to your customer list, or
    • Reject the registration
  • See Online Registration for more details

The Invitation Email and Online Account Setup

When you invite a customer online, or accept an online registration, an email is automatically sent to the customer, inviting them to use your Online Ordering Website. You can view or change the wording in this email by selecting General Settings from the Settings menu and editing the Login Invitation template in the Website Settings tab.

The customer can click on the link provided in the email and create a password. Once they have created their account, they can log in to:

  • Add orders
  • View existing orders and edit them if it is not past the cutoff time
  • View and print invoices
  • If you have enabled the payment gateway, enter their credit/debit card details and pay for orders or invoices

Once a customer has created a login, the customer details screen will have a Login section where you can view their login ID, temporarily disable their login, or disconnect it entirely.

After the Online Account is Set Up

When a customer submits an online order:

  • A confirmation email is automatically sent to the customer's login email address
  • You can view their order in My Orders.
If you set a Credit Limit for a customer who uses the online order portal and they have exceeded that credit limit, they must pay for the current online order before it can be submitted.
