Working Date

Each time you log into EasyVend, you are asked to enter a Working Date. This is the date that will be used most activities. It defaults to today's date, but if, for example, you are planning to enter orders or print invoices for tomorrow, you should change your Working Date to tomorrow. 

  • In screens that require a date, the Working Date is initially displayed by default. You can, of course, change the date if required.
  • In the My Orders screen, if the delivery date of the order is different from your working date, the date and day will be highlighted in orange; this is just an advisory warning to let you know the order on screen is not for your working date 
  • You can also change the Working Date itself via the User Menu in the top right corner of the screen

  

Home Page

The EasyVend home page can be accessed any time by clicking on the EasyVend logo on the top left of the screen.

In addition to the menu bar that is common to all screens, the home page provides:

  • Quick access to common tasks
    • A single click enables you to quickly go to:
      • Customers
      • Products
      • Orders
      • Depot Orders
      • Printing Dockets and Invoices
      • Receipts
  • Dashboard
    • The dashboard displays summaries and reminders for upcoming or overdue tasks such as:
      • Sales
        • Select whether to display sales values for the last 7 days, 7 weeks, or 7 months. The sales are based on customer orders and include GST and CDS, if applicable.
          • 7 days: Display the total sales for the last seven days, including today.
          • 7 weeks: Display the total sales for the last seven weeks (Sunday to Saturday), including the current week. Each column shows total sales for the seven days starting with the date at the base of the column.
          • 7 weeks: Display the total sales for the last seven months, including the current month.
      • Overdue invoices
        • Lists up to 100 invoices still outstanding after their due date in the last 30 days
        • Clicking on the Invoice Number of an overdue invoice will display that it in a new tab
      • Daily Tracking of customers who have placed orders for your working date
        • Clicking on the green ('orders placed') section will take you to the My Orders screen
        • Clicking on the grey ('order not yet placed') section will take you to the Cut-Off Time Notification screen. From there you can send reminders to customers who have not yet place and order.

  

Menu Bar

The menu bar is always visible across the top of each screen and provides access to all sections of EasyVend. It consists of several sections:

  • EasyVend logo on the far left:
    • Click the logo to quickly return to the Home Page
  • Menu to the right of the logo. Click on a menu option to display the drop-down list of items available in each submenu.
    • Customers: View, add and edit your customer details and their standard orders, manage central billing, generate and batch print or email invoices, view, add and edit receipts, and print or email statements.
    • Orders: View, add and edit customer orders, and print and view delivery dockets
    • Stock: Send Depot Orders and manage stock control, and view, add and edit products, prices and suppliers
    • Reports: Generate and print sales/debtors and receipts reports; print run sheets and load summaries
    • Account: Manage users, your company details, and your subscription to EasyVend; view Tips and Posts
    • Settings: Update your EasyVend settings and manage syncing of your data with MiniVend and Xero or MYOB
  • Notifications: If there are new Tips or Posts, you will see a bell icon and red notification bubble to the left of the Help icon and your profile name. Click on this to read the new tips (helpful hints) or posts (what's new in EasyVend). 
    • Once read, the tips and posts can be accessed again by selecting Tips or Posts from the Account menu.
  • Help opens the Table of Contents for this user manual
    • Note: When using the manual, it may be helpful to search for the term you are after within the manual page
      • Press Ctrl+F (Windows) or  Command+F (Mac) to open the "Find" box in virtually any browser
        • If you're using a mobile browser, the Find command is usually in the browser's menu
      • Type the word you want to find
      • Use the Previous and Next options in the Find box to cycle through the matches
  • User Menu: Clicking on your name on the far right of the menu bar allows you to select from the follow menu items:
    • My Profile: View and/or edit your user details such as display name, email address, phone number and password
    • Working Date: Change your Working Date
    • Logout: Log out of EasyVend

  

Setting Up

Before you start entering orders, you should make sure that EasyVend is set up as you would like by checking the Account and Settings menus.

  • Account Menu
    • Check your Company Details to make sure they are correct.
    • If other people besides you will be using EasyVend, the Users option allows you to add them and, if required, restrict the actions they can perform in EasyVend.
  • Settings Menu
    • Go to General Settings and review the settings in each tab, updating them as required. In particular:
      • Make sure you have added your Customer Groups, Price Levels, Product Categories and Rounds, as you will need these when adding products and customers.
      • Also set up your Docket Layout Configurations,  Invoice Layout Configurations, and Invoice & Docket Messages so these can be used when adding customers.
      • In the General Settings tab, make sure you select the correct timezone and enter the Container Deposit Scheme (CDS) details for your state.

If you are moving from desktop EasyVend, your suppliers, products and prices, customers, and many of the options in General Settings will have already been imported and you will merely need to review these. If not, your next step is to add your suppliers, products and customers:

  • Stock Menu
    • In the Suppliers option, your 'standard supplier' will have already been added. Add any additional suppliers that you use.
    • In My Products, add the products you supply and their pricing details.
  • Customers Menu
    •  Add each of your Customers. Enter as many details as you can, including any Standard Order the customer may have.

Other options you may like to look at before you start entering you customer's orders are:

  • Delivery Sequence in the Settings menu, which enables you to set the delivery sequence of your customers on each day and round.
    • Setting the delivery sequence allows you to print run sheets, dockets and invoices in this sequence, rather than simply in order by Customer Code.
  • If you have the Online Website module of EasyVend, inviting customers online enables them to log into the Order Portal and enter their own orders and payments.
